    During the meeting, members were presented with the scores and feedback provided by the teachers for each textbook they reviewed during the prior weeks’ vendor presentations. Final recommendation identified by the Steering Committee will be submitted as an Information Item for Governing Board Meeting on April 20, 2022.

    The Steering Committee evaluated the rankings submitted by the Educator Adoption Selection Committee.  The publishers of the top identified vendor products were notified and scheduled to present on March 1 & 2, 2022.

    During this committee meeting, the Steering Committee will evaluate the rankings submitted by Educator/Administrator Adoption Selection Committees. Top ranked vendors will be notified to prepare presentations. Recommended textbooks will be prepared for public display at the district office.

    During this committee meeting, Steering Committee evaluates submitted materials using the Phase I scoring criteria. Materials evaluated based on the criteria of the RFP including the Scope of Work using the Phase I Rubric/ Qualifying materials moved to Phase 2.

    Responsibility of the Steering Committee

    The steering committee ensures that the adoption process is carried out appropriately and affirms the evaluation committee’s findings. The steering committee members are not expected to evaluate the products.

    At each steering committee meeting, members will vote to agree that the process is being followed as outlined in the adoption process. The process moves forward based on a majority vote.

    Steering committee members are expected to attend each steering committee meeting.

    To purchase a large amount of resources, school districts must engage in an adoption request for proposal (RFP) where the local education agency (LEA) submits a request for vendors to propose their product for evaluation. The adoption process is distinct from the implementation of the resources.

    Action Step #1: Review the solicitation documents.

    Scope of Work Development

    Phase 1 Evaluation Committees:  Phase 1, the committees should be populated with content experts to evaluate submissions.

    • The time commitment for Phase 1 evaluations will depend on the number of submissions. It is likely that each submission will take approximately 60-90 minutes to evaluate during Phase 1.
    • Evaluators' scores will only count if they complete evaluations on ALL products. Partial scores will be removed from the final calculation.
    • The goal would be to have about 20 members on an evaluation committee. It is common to have people drop out throughout the process.

    Action Step #2: Review the Proposed Names for Phase 1 Evaluation lists. 

    Action Step #3: Add candidate names to the appropriate tab. Please include their name, position, grade level, and site. The Phase 1 committee chair will reach out to the candidate to invite them to the process.
